Instead of kicking tasks and projects down the road, start checking them off your list. It’s the best way to guarantee success.
Do you find yourself repeatedly rescheduling that one task or project on your to-do list? You know, the one that keeps getting pushed to tomorrow, next week, or even next month? I call this task dread. It’s time to pause and consider whether that activity might be better tackled in smaller, more manageable chunks.
We’ve all been there. Whether it’s increasing your prices, completing a new client project, or taming an overflowing inbox, some tasks seem to linger on our to-do lists indefinitely. We tell ourselves we’ll get to it eventually, yet it keeps slipping through the cracks, causing frustration and stress.
But what if I told you that the key to finally conquering that elusive task lies in breaking it down into smaller, more actionable steps? It might sound counterintuitive at first. After all, wouldn’t breaking it down only add more items to our already overflowing list? Surprisingly, even though that is true in the short run, the long run results cannot be ignored.
Here’s why continually rescheduling a task might be a sign that it needs to be broken down into smaller tasks:
1. Overwhelming Complexity. Complex tasks can often feel overwhelming, leading us to procrastinate or avoid them altogether. By breaking them down into smaller, more manageable steps, we can reduce the intimidation factor and approach each component with clarity and focus.
2. Lack of Clarity. Sometimes, we put off tasks simply because we’re not entirely sure where to start or what the next steps entail. Breaking down the task forces us to define specific actions, making it easier to visualize the path forward and take meaningful action.

So, how do we go about breaking down tasks effectively? Here are a few strategies to get started:
- Identify the End Goal.
- Clearly define what you hope to accomplish by completing the task. This will serve as your guiding light as you break it down into smaller steps.
- Brainstorm Sub-Tasks.
- Take some time to brainstorm all the individual actions required to achieve your goal. Don’t worry about organizing them yet—just get everything down on paper or better yet, saved in an electronic file.
- Organize and Prioritize
- Once you have a list of sub-tasks, organize them in a logical sequence and prioritize them based on importance, urgency and due dates.
- Set Deadlines.
- Assign deadlines to each sub-task to build the discipline required to keep yourself on track. Be realistic but also challenge yourself to make consistent progress.
- Celebrate Milestones!
- As you complete each sub-task, take a moment to celebrate your progress. Whether it’s a small reward, a moment of reflection, or sharing your achievement with others, acknowledging your accomplishments will keep you motivated to continue.
Remember, you complete a marathon by taking thousands of individual steps. You become a specialist based on the accumulation of hundreds of individual experiences. Rome wasn’t built in a day, and neither are most tasks worth tackling. By breaking activities down into smaller, more manageable chunks, you’ll not only increase your chances of success but also make the journey more enjoyable and rewarding.
